Process Improvement

Make strategic goals possible

Increase your organizational momentum and facilitate change by remediating complicated, duplicative, and brittle operations resulting from years of incremental growth, minimal investment, and a focus on operational stability.

Our Process Redesign Services

We recommend this muti-stage process which combines granular examination of the processing and data and the holistic examination of the process allowing for localized and global improvements.

Process Optimization

We analyze a combination of the Process and Data Traceability One-Pagers, the Risks and Controls Matrix (RCM), and operational information to identify processing which needs to be improved or can be eliminated, consolidated, simplified, or automated.

The deliverables of this effort include:

  • Optimized Process and Data Traceability One-Pagers
  • Updated RCM
  • Detail on the reductions in processing, estimated savings, improvements in quality, risk and control improvements, processing time improvements

Opportunities to Leverage IT Evaluation

If fully migrating a process to IT can’t be completed because of a lack of funding, the opportunity cost is too high, or IT delivery speed is too slow, then it is usually possible to identify portions of a process that can leverage IT capabilities to help deliver formerly unachievable business goals.

Starting with the Process and Data Traceability One-Pagers, we analyze each processing step and quickly score the key criteria that drive the decision to leverage IT. Completing this process simultaneously for multiple processes, it becomes possible to identify common capabilities which can be leveraged across multiple processes. Where appropriate, the analysis might map several processing steps to a single IT capability.

Items covered include:

  • Manual processing effort
  • Business logic stability
  • Business logic complexity
  • Error risk and impact
  • Control adequacy
  • Control cost

For possible opportunities to leverage IT, we suggest the business and IT complete a joint evaluation of each opportunity by focusing on high-level architecture and feasibility. This should produce a shortened candidate list for further detailed evaluation.

Business and Non-Functional Requirements

For the candidate list of possible opportunities to leverage IT, we produce the standard documents IT would use to implement the business capability. Most IT organizations have standards for these documents which we would use for this effort. As part of the requirements, for each IT capability, we produce a well-defined list of business benefits.

IT can use these deliverables to complete estimates for staffing, schedule, and cost.

Using these documents and being aware of organizational opportunity costs, leadership can make decisions balancing the projected benefits against the estimated costs and either approve or reject the candidate IT capabilities.

Process Optimization Implementation

Based on leadership and management approval of the Optimized Process and approved IT capabilities, we can provide the project management capacity to plan, manage, and coordinate this effort.

Our Tools and Testing Service

We recommend completing this portion of the service for all processes. The effort for this is usually low with a potentially out-sized increase in quality and risk reduction.

Modeling Tool Best Practices

Examine how modeling tools are used and identify opportunities to reduce operational risk.

For excel, this includes:

  • Segregating and consolidating data inputs (where possible)
  • Easing the comparison of manually entered data for the current processing cycle to the prior cycle
  • Processing instructions (including references to all embedded data inputs)
  • Review log
  • Change history

Effective Change Testing

Analyze how testing is completed for change initiatives and provide details of gaps and improvement opportunities.

Service Benefits

Investing in process improvement efforts should improve the change capacity of the organization while the department should experience improvements in workforce, cost, and quality.

Adaptability & Agility

Improve the organizational responsiveness to business environment changes by reducing the size and complexity of processes.

  • Free up staff for change initiatives with reduced staffing profiles supporting simplified and automated processes
  • Accelerate projects by lowering the required effort to update simplified and optimized processes

Workforce & Culture

Improve employee engagement and team culture with the elimination of low-value repetitive tasks.

  • Increased employee satisfaction from a larger allocation to more meaningful work
  • Evolve the culture to one of continuous improvement with investment in learning, development, and continuous improvement

Cost & Quality

Improve process cost and quality by eliminating required manual efforts.

  • Lower the cost of completing processes by reducing required efforts with simplifications and optimizations
  • Improve the quality by lowering manual efforts with increased levels of automation
